This Privacy Policy describes how your personal information is collected, used, and shared when you visit or purchase a service from www.payrollperformance.ca (the “Site”). By accessing or using this Site, you indicate that you understand, accept, and consent to the practices described in this policy.
DEVICE AND PERSONAL INFORMATION WE COLLECT
When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”
We collect Device Information using the following technologies:

– “Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.

Personal information is any information about an identifiable individual, but does not include the name, title, business address or telephone number of an employee of an organization. We collect personal information in order to provide our services to you, generally payroll services, offer workshops, project work, consulting services. We collect your information and preferences in order to proceed with calls, proposals and contracts.
HOW DO WE COLLECT YOUR PERSONAL INFORMATION?
Through www.payrollperformance.ca (the “Site”), Dubsado via forms or text (contracts or proposals), Google analytics searches, Microsoft (booking into a calendar).
When you “book a call” through the Site, Dubsado collects certain information from you, including your First name, Last Name, email address, Company Name, Street address, city, Province, Postal Code and phone number. We ask what your business concerns are and the type of service you are looking for, there are checkboxes for the types of help your business is looking for and what remittances you have, the payroll frequency, type of employees, number of payrolls and employees paid per payroll. We refer to this information as “Order Information” and after the initial call would use it to populate the proposal automatically in Dubsado as well as a contract should we proceed with one.
When you “book a call for a general inquiry” through the Site, Dubsado collects certain information from you, including your First name, Last Name, email address, Company Name. We ask the reason for the meeting request. This would also populate into a proposal automatically, in Dubsado should we proceed with one.
When you complete the “On-boarding Questionnaire” (sent to you after the initial phone call after a proposal) through Dubsado, we collect certain information from you, Company Legal Name, head office location, CRA number (if we are managing remittances only), next pay date, current processing date, pay period start and end date, what provinces your employees work in, if you have unionized employees and what Collective Agreement they fall under. This information would populate a contract in Dubsado should we proceed to that step.
When you “Receive a proposal” through Dubsado, you are asked to validate the proposal information, enter your first name, last name, email address, phone number and review the summary of commitment along with the terms and conditions, check off the check box that you agree to the terms and conditions and sign that you are ready to move the the contract stage.
When you “Receive a contract” through Dubsado” you are asked to review the entire contract, enter your first and last name, and sign it. This information is held in Dubsado, as a CRM program it tracks emails, leads, proposals, time spent with clients, and holds all items sent back and forth between clients and us. This data will be retained with no end date however, its only purpose would be for statistics and tracking.
We collect personal information only by lawful and fair means, and only collect personal information that is reasonably necessary for the legitimate purposes identified and for which consent has been obtained. Information you provide to us.
When we talk about “Personal Information” in this Privacy Policy, we are talking both about Personal Information and Device Information.
HOW DO WE USE YOUR PERSONAL INFORMATION?
We use information that we collect about you or that you provide to us, including any personal information to:
- Fulfill the service you requested (including booking a call, creating a proposal, creating a contract, processing your payments, providing you with invoices and/or payment confirmations) and carry out any contract
- Communicate with you
- Manage our projects
- Improve overall performance, this could be through information we collect through automatic tracking technology
- Provide you with information or advertising relating to our services
- To present our Website and its contents to you
- To provide you with information, products, or services that you request from us
- To fulfill the purposes for which you provided the information or that were described when it was collected, or any other purpose for which you provide it.
- In any other way we may describe when you provide the information.
- For any other purpose with your consent
HOW DO WE USE YOUR DEVICE INFORMAION?
- To help us screen for potential risk and fraud (in particular, your IP address)
- To improve and optimize our Site (for example, by generating analytics about how our customers browse and interact with the Site)
- To assess the success of our marketing and advertising campaigns).
SHARING YOUR PERSONAL INFORMATION
As a general rule, we do not sell, rent, lease or otherwise transfer any information collected either automatically or through your voluntary action. We may disclose your personal information to our business subsidiaries, affiliates and service providers for the purpose of providing our services to you.
We share your Personal Information with third parties as required to help us use your Personal Information, as described above. We may disclose information when if we in good faith, believe that the law requires it, or when compelled by a court or other governmental entity to do so.

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.
HOW DO WE PROTECT YOUR PERSONAL INFORMATION?
We use appropriate security measures to protect against loss, theft, unauthorized access, disclosure, or modification of personal information. Such measures will vary depending on the sensitivity, format, nature and storage of the information. This includes Security measures such as premise security, restricted file access, technological safeguards including security software and firewalls to prevent unauthorized computer access, password protections, multi-factor authentication and VPNs. We encrypt all files and do not send sensitive information through email.
DATA RETENTION
Except as otherwise permitted or required by applicable law or regulation, we will only retain your Personal Information for as long as necessary to fulfill the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. Under some circumstances we may anonymize your personal information so that it can no longer be associated with you. We reserve the right to use such anonymous and de-identified data for any legitimate business purpose without further notice to you or your consent.
CHANGES
We have the right to and may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons. Your continued use of this Website after we make changes indicates that you accept and consent to those changes, so please check the policy periodically for updates.

What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
